I hope this email finds you well. On behalf of New Springs Schools, I am pleased to invite your company to participate in our Request for Proposal (RFP) bid process for the food service at our school.
New Springs Schools is renowned for its commitment to providing exceptional education to our students. As we prepare to open our new schools, we are seeking a food service provider who shares our dedication to excellence and can provide nutritious and delicious meals to our students and staff.
After careful consideration, we have identified your company as a reputable and experienced player in the food service industry. Your commitment to using fresh, locally sourced ingredients, promoting healthy eating habits, and accommodating diverse dietary needs aligns perfectly with our requirements.
To ensure a fair and transparent selection process, we would like to provide you with the following key information:
Scope of Services: The food service provider will be responsible for delivering breakfast and lunch options to our students. Additionally, there may be a need for catering services for special events and after-school programs.
Contract Duration: This Contract is effective for a one-year period, commencing 07.01.2023 or upon written acceptance of the Contract, whichever occurs last, and ending 06.30.2024.
This contract will be renewable on an annual basis, upon mutual agreement of the SFA and FSMC, for up to four (4) additional years (each year a “renewal term”).
Renewal of this Contract is contingent upon the fulfillment of all Contract provisions relating to USDA Foods.
Proposal Submission: Interested vendors are requested to review the attached detailed RFP (Request for Proposal) document. It contains comprehensive guidelines and instructions for submitting your proposal. Please pay close attention to the requirements, including details about your company’s background, experience in the education sector, sample menus, pricing, sustainability practices, and any additional value-added services.
Evaluation Criteria: Proposals will be evaluated based on criteria such as menu variety and nutritional value, quality and sourcing of ingredients, cost-effectiveness, experience in similar environments, track record of customer satisfaction, sustainability initiatives, and innovative approaches to food service.
Timelines: Please take note of the following important dates:
- June 15th, 2023: Proposal available to the public
- June 19th, 2023: Proposal questions due
- June 20th, 2023: All Proposal questions answered by publishing Addendum 1, if applicable
- June 22nd, 2023: Proposal submissions are due by 5:00 PM EST.
- June 23rd, 2023: Proposal submissions publicly opened.
- June 23rd, 2023: SFA review of Proposals
- June 23rd, 2023: SFA recommendation to FDACS and FDACS review
- June 26th, 2023: Contract award
- July 5th, 2023: Awarded Vendor begins service
